Scope of Work:
Reporting directly to the Vice President, the Executive Assistant provides high-level administrative support to the President. The Executive Assistant also serves as a liaison to the Family Advisory Board and the Executive Leadership Team; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with extreme discretion. Will work closely with other Executive Assistants t accomplish projects and tasks.
Primary Job Responsibilities:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting business operations, family matters and compensation
- Sustain a daily calendar and itinerary of meetings and events
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of the Organization’s objectives
- On a limited basis, arrange travel and accommodations for the President, Family Members involved in the Business, Manufacturing Partners, Customers and Vendors
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
- Draft and prepare correspondence for internal announcements, meetings, and organizations that the executive is involved with
- Manage the President’s expense account and provide support in managing certain expenditures incurred by the President
- Manage the President’s contacts
- Assist in preparing and managing presentations and decks
- Be responsive to emails/texts/phone calls, with contact outside normal business hours
- Welcome the President’s guests by greeting them, in person or on the phone: answering or directing inquiries
- Perform other duties as assigned
Minimum Qualifications:
- Must have a High School diploma or equivalent
- Minimum of 5 years of related experience in an executive assistant role
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Must communicate effectively and professionally
- Flexible hours as dictated by the needs of business for projects and meetings

Working Conditions and Physical Demands:
- Typical hours of work Monday through Friday; 8 a.m. to 5 p.m.
- Sitting; occasional bending or kneeling; lift and carry a maximum of 10 – 25 Lbs., reach overhead for light
- weight items.
- Office work.
