We are searching for a talented, highly organized Executive Assistant to support the CEO and COO.

We’re Outreach Strategists, a Houston-based media and public affairs firm with a reputation for excellence built over two decades of driving our diverse portfolio of clients’ ambitious agendas. We have an exciting opportunity for a talented and accomplished Executive Assistant.
Responsibilities:

- Support the internal business of the CEO and COO.
- Manage the CEO’s calendar, including making appointments and prioritizing the most sensitive matters.
- Manage the CEO’s email, including checking and responding to e-mails in a timely manner.
- Provide administrative assistance, such as drafting memos, and preparing communications on the executive’s behalf.
- Support the COO as needed.
- Provide a welcoming environment for staff and guests.
- Greet and assist all visitors to the office.
- Support office management
- Answering phone calls in a polite and professional manner.
- Coordinating meetings including scheduling, sending reminders, online meeting set-up and catering, etc.
- Provide administrative assistance such as filing, scanning, etc.
- Coordinate with building management.
- Sign for deliveries as well as open and distribute mail and packages.
- Order office supplies and groceries and organize supply area.
- Add paper, staples, and toner in the copy machine.
- Maintain general cleanliness and order in shared spaces such as conference rooms and kitchen.
- Oversee office equipment functionality
- Maintain cleaning contract
- Maintain comprehensive and accurate records.
- Provide event support.
- Other duties as assigned.
- Support the internal business of the CEO and COO.
Skills and Qualifications:
- Minimum of 5 years of experience
- 65+ WPM
- High School Diploma or equivalent from an accredited institution; Bachelor’s degree preferred
- Computer Skills (Microsoft Office Suite), including Excel and Power Point presentation.
- Strong verbal and written communication skills.
- Demonstrate sound judgment and make independent decisions in routine situations.
- Ability to work effectively under pressure in a fast-paced environment, handle multiple priorities, tasks, demands and time sensitive pressurized situations.
- Ability to establish and maintain effective and harmonious relations between staff and clients.
- Commitment to completing tasks on time and to the highest ethical and professional standards.
- Exceptional interpersonal skills including tact, patience, and acumen and the ability to work with many, diverse individuals, and groups across various functions.
- Technology expertise including support for devices, IT security, email, databases, QuickBooks and more.
- Administrative Assistant Certification preferred
